Club Resources

Running a club is lots of fun and a great learning experience but there is some work involved. We don't want to abandon you to figure out everything on your own so there are numerous supports and services available from NAITSA to make sure your club experience has an emphasis on fun more than work! Check out this page for all your answers to club questions.

As your club's volunteer representative(s), you are in a position of financial responsibility. To ensure you are properly supported and have the right tools to be as financially accountable as possible in terms of your club's operations, NAITSA offers club banking resources. Club banking began in March 2003 with Biological Sciences being the first to sign up.

What are the benefits of club banking?
- The "bank" is on campus for easy access
- NAITSA offers club banking services for FREE
- Income, expenses, and transactions are tracked and monitored easily and accurately
- Signing authorities are easier to change from year to year
- Funds are secure (all signing authorities will be contacted if unauthorized individuals try to access funds)
- Signature cards are filed with NAITSA, signatures are verified for each account access request
- Account statements are available upon request
- Accounts will not be closed if unused
- Cheques are ready no later than 48 hours after the request is submitted
- Cheques will be mailed when requested

How do I set up Club Banking?
Club Signing Authority Form must be filled out completely and submitted to the NAITSA Clubs Coordinator.
When initial funds are remitted to the account, the account then becomes active. (Receipts are issued for every transaction.)

What if there's money involved?
Each club must conduct all club banking with the NAIT Students' Association.

All clubs must submit a Club Function Income Statement following each event involving the exchange of monies. If the procedures involving banking and monies are not adhered to, the club loses its good standing and will be denied the privileges awarded to clubs in good standing.

Important note: Monies raised/acquired by a club must be used to benefit every member of that club. Also, membership fees must be justified to the Club Coordinator upon request.

Club Funding
Another resource that NAITSA offers to all our student clubs is Club Funding.

Need to request funding for your club? Here's how:

1. All funding requests must be submitted within two weeks of expenditure.
2. To receive funding a club must be ratified (to find out what Ratification is, click here).
3. Clubs are expected to fundraise for any additional monies required by the club.
4. Supplemental grants:

a. NAITSA reserves the right to determine allocation of funds. For requests exceeding $100 NAITSA reserves the right to consult with the NAITSA Senate to determine justification of spending.
b. Receipts must be presented to Club Coordinator no more than two weeks subsequent to receiving funds.
c. Club funds are non-transferable.
d. Any club fraudulently representing their assets will be immediately de-ratified.
